Reporting to the Office Manager, the Administrative Assistant provides administrative support for the Office Manager and Production Manager. In addition to invoicing, running credit cards, and making deposits, this position is responsible for typing, filing, mailing and scheduling. Specialized tasks may include conversion of sales quotes to production tickets as well as dispatching and coordinating the delivery of printed goods.
Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload, and recommend changes in office practices or procedures.

Our production facility sends out work daily. Communication between the office and the factory is a key factor in being successful on a daily basis. You will have primary responsibilities to assist the Office and Production Managers in a diverse list of duties; training will be provided.
• Running credit cards and making deposits
• Converting sales quotes to production tickets and updating our Excel Production List
• Filing and mailing
• Dispatch and coordinate delivery of printed goods
• Communicate with print vendors
• Inspect and document incoming printed goods
• Process UPS, FedEx, Trucking shipments
• Other tasks that relate to Office and Factory administration as assigned
This position has no supervisory responsibilities.
This job operates in a professional office environment as well as a production facility. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This is a mostly sedentary role; however, some filing is required. This would require the ability to lift files or materials up to 25 lbs., open filing cabinets and bend or stand as necessary. When working in the factory there will be opportunities for bending, lifting, and standing for up to 2 hours at a time.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are M-F 7:15am - 3:45pm
No travel is expected for this position.
Required Education and Experience:
• High school diploma.
• One year of administrative experience.
• Proficient in Word, Excel, and Outlook. Experience with UPS World Ship and QuickBooks is a plus
• The ability to speak, read, write in English and Spanish
Position starts at $12.00 an hour with potential for growth. Training will be provided.
