Established structural concrete construction company is looking for an experienced Administrative Assistant to join the on-site team in Escondido! Our ideal candidate has industry experience, a positive and proactive attitude, is disciplined and driven, detail-oriented, and has a sincere interest in helping and supporting team members and management.
We are seeking candidates that are looking for a long-term opportunity with a 26-year-old construction company. Office hours are 7AM – 4PM, Monday through Thursday and 7AM – 3PM on Fridays.
Responsibilities include, but are not limited to:
• Set up and maintain digital and hardcopy project files.
• Track, organize, file, and maintain fleet management documents.
• Track and request missing or expiring insurance, verify insurance requirements for compliance with agreements and follow-up as required until resolved.
• Manage Lien Release requests and tracking for company projects and sub-tier contractors.
• Budget data entry and tracking for accurate WIP reporting.
• Directly aid Controller and management with tasks and projects.
• Track office supply inventory levels and coordinate meals for meetings.
• Various administrative tasks, data entry, document processing, archiving, and filing as needed.
Requirements/Qualifications:
• 3+ years of relevant administrative assistant experience. Direct industry experience in a similar capacity is highly preferred.
• Must be proficient using Microsoft Office Suite applications, especially Excel, Word, and Outlook, as well as proficient editing complex documents using Adobe Acrobat. Experience using Sage, Premier, GC Pay, Procore, or similar construction platforms is a huge plus.
• Approachable, proactive, positive self-starter with strong multi-tasking and follow-up skills that can wear multiple hats in a small office environment.
• Ability to work under minimal supervision, with some oversight, and as part of a team.
• Exhibit active listening skills and follow through on commitments.
• Good judgement, logic, and ability to solve problems and learn new things quickly.
• Strong attention to detail, organizational skills, and facility with numbers.
• Excellent communication and time management skills.
• Bilingual in Spanish is a plus but not required.
$25-$30/hr BOE
