Saving America’s Mustangs is a foundation devoted to preserving wild horses. The Saving America’s Mustangs organization has a main office in Rancho Santa Fe and an office in Wells, Nevada. We are looking for an administrative assistant who will create and coordinate all media, communications, maintain contacts, and complete special projects as well as assist with new hires, order supplies and work with the on-site manager at the ranch. This administrative assistant position requires travel to Wells, Nevada which may require stays as long as a week.


Administrative Duties
Work closely with Office staff, including but not limited to:
• Handle all incoming general inquiry calls; direct the caller to proper departments.
• Order and maintain office supplies.
• Maintain iPhones and help trouble shoot issues on a PC and Mac.
• Assist Accounting department to input invoices, receipts and print checks.
• Assist Accounting department running reports.
• Assist Accounting department in maintaining petty cash and credit card receipts.
• Maintain files.
• Maintain owners’ calendar.
• Work with ranch managers and employees to obtain receipts, payroll info etc.
• Manage email and replies.
• Organize and book travel
• Assist organizing special events for owner.
• Other duties as assigned


Media and Communications Duties
Work with owner for all media needs and communications
• Update all social media.
• Update website as needed.
• Send blasts through constant contact.
• Work with owner responding to emails.
• Other duties as assigned


Qualifications
This is a professional office requiring a professional appearance.
• Positive attitude and great work ethic
• Strong communication skills, both oral and written
• Professional phone etiquette, ability to answer incoming and place outgoing calls
• Excellent time management, organization, and prioritization skills
• Ability to multi-task and handle interruptions and changing priorities
• Be proactive and take initiative, ask questions.
• Skilled understanding of Microsoft Office: Word, Excel, Outlook
• Skilled understanding of Adobe Suite: Photoshop, InDesign, Acrobat, Publisher
• Skilled understanding of Facebook, Instagram, and Twitter
• Previous media

Some college preferred, previous experience in media, and previous admin experience required.
