Contract / Project Administrator

The ideal candidate will possess an affinity and aptitude for working with numbers, advanced detail-orientation, solid written and verbal communication skills, proficiency with Microsoft Excel and a proven ability to multi-task and take initiative. Construction industry background and prior accounting-related experience provides a real advantage when being considered for the position.

Primary Responsibilities:

Administer all aspects of new job set-up process, update job start dates. Must possess an aptitude to handle multiple project files concurrently.
Work in tandem with Sales Team members on newly awarded projects.
Create and maintain physical and digital job files.
Prepare, maintain, enter AP daily
Prepare, maintain, enter AR weekly
Bill AR according to schedule
Execute invoicing in A/R.
Manage Lien Notices and Lien Calendar.
Submittal and Tracking of Progress and Change Order Invoicing.
Registration and management of manufacturer warranty programs.
Work with insurance carriers for issuance of certificates.
Registration and management of manufacturer rebate programs.
Collaborate with accounting department weekly for reconciliation of job material and labor.
Prepare change orders, update estimates, manage the Change Order process.




Communicate with Project Managers regarding scopes of work, conditions, and terms.
Communication with field supervisors
Participation in project and/or team meetings.
Prepare Job Close Out Packages.
Work in Progress (WIP) Reports
Review and update project work in progress report.
Identify potential job cost issues.
Notify management of potential cost overruns.

Qualifications

Previous Construction industry experience in a project engineer or construction administrator position is a MUST.
Proficient in basic administrative functions and skilled in the use of office equipment and computer software including Microsoft Word, Excel and Outlook.
Excellent written and verbal communication skills.
Positive attitude.
Ability to work independently and as part of a team.
Respect for confidential information; good judgment.
Flexible, detail-oriented.
Ability to work in a fast-paced environment and prioritize effectively.
Takes initiative within area of responsibility.
