The Administrative Assistant is responsible for maintaining the front desk, providing quality customer service ensuring the safety of Club members and maintaining all membership functions including data system entry and data maintenance, payment collection, processing and membership files. This position provides regular clerical and administrative support. Maintains schedules and calendar, answers telephones and maintains electronic and hard copy files. Responsible for providing a point of contact for walk in traffic, incoming telephone calls, granting access to the building, and supporting the highest level of customer service for members and visitors. The Administrative Assistant supports the Program Managers with the administration and coordination of daily business and program operations as assigned. Under the supervision of the Program Managers, primary focus is on the coordination of the online registration and billing systems, program communications, and effective utilization of administrative systems.

Membership Clerk & Administrative Assistant
Full time, M-F, 38-40 hours per week, 9:30 – 6:00pm, $13-$15
Non-exempt, benefit eligible (Medical, dental, vision, life, LTD, 401k matching retirement, Aflac, FSA, 12 paid holidays, paid time off/vacation and sick pay)

Maintain the safety, security and appearance of the Clubhouse front desk.
Answers telephones, providing general information, referring callers to other appropriate Department Programs administrative staff or taking messages as necessary. Answer phone calls and direct caller to appropriate program extension or direct program phone line.
Acknowledge and greet everyone who enters and leaves the Clubhouse. Greet, monitor and track all visitors.
Handle guests’ questions and concerns professionally and courteously.
Maintain a series of checks and balances to ensure that the information entered in the member tracking software is accurate and being entered timely.
Maintain safety and incident reports with supervisor and parents as needed.
Provide scholarship packets to members and verify data.
Enters member information into data management system.
Ensure that daily check in (after school program) attendance is accurately recorded, documented and reported to supervisor
Maintain monthly data and membership reports, daily for reports as needed.
Registration and Billing for basketball specialty program.
Organize and submit weekly deposit reports to the Program Manager and the finance team.
Organize and submit vendor invoices and vendor payment requests within the full parameters of finance policies.
Program Communications and Support.
Minimum Qualifications
• A minimum of two years’ work experience with in a service organization or non-profit organization preferred, but not required.
• A minimum three years of direct related experience with administrative functions and customer service. A working knowledge of administrative and clerical procedures.
• Combination of education and related experience applicable.
• Great attention to detail in all work areas and experience as a data entry clerk.

• Successful completion of pre-employment drug screening and background clearance.
• Demonstrated ability to effectively organize and schedule a calendar of events.
• Demonstrated proficiency in computer skills (MS Office including Word, Excel, Outlook) is required and the ability to learn specific computer programs and web based applications as needed.
