The HR Specialist is responsible for the administration of the full Onboarding process for Union employees. The HR Specialist is the first point of contact for Onboarding and Pre-employment inquiries. Specific tasks include processing employment agreements, background checks, I-9 review and compliance, new hire questions and ensuring each new employee is set up correctly in the HRIS system. 


Review all new hire paperwork for accuracy and ensure that all necessary forms have been received
Enter the data from the new hire paperwork into the HRIS (GUI) system
Enter all Onboarding issues, such as corrections, into the HRIS (GUI) system
Ensure all logged Onboarding issues are followed up on and cleared in a timely manner
Review and audit the Federal form I-9 and complete the I-9 checklist to reflect all corrections necessary
Communicate with the hiring manager regarding the status of the new hire paperwork and follow up as necessary to ensure all corrections are made timely and accurately
Ensure each new hire’s starting wage complies with applicable Collective Bargaining Agreement
Prepare reports by collecting, analyzing and summarizing data
Ensure Health and Welfare packets are mailed out to new hires after their probationary period
Document and maintain leave of absence requests and submit to the Benefits Department
Process Unemployment Claims
Process Employment Verification requests
Process terminations in I-9 Advantage
Prepare birthday and quarterly bonus coupons
Maintain pending termination reports
Process reverifications of employment
Supports HR staff in negotiating collective bargaining agreements, grievance meetings, arbitrations, and other Union related activities
Work on special projects
Assists in other HR employment activities as assigned
Bilingual in English and Spanish is a Must


2-3 years HR administration
HR background a plus
AP / AR experience a plus
Union experience a plus


Must be highly organized with a keen attention to detail
Exceptional follow through skills
Strong written and verbal communication skills
Demonstrate the ability to work in a fast-paced and ever-changing environment
Ability to function independently, as well as part of a team
Previous experience in a role that required a high level of confidentiality
2 years new hire processing to include I-9 compliance preferred
2 years Onboarding experience preferred
Demonstrates ability to be flexible, prioritize tasks/responsibilities and complete duties/projects within allotted time
Possesses adaptability, resourcefulness, ability to navigate varying requests, and stress tolerance
Regular attendance is required
Bilingual in English and Spanish is a Must


Minimum AA Degree; Bachelors preferred
