We are a well-established construction company doing business since 1981. We are looking for Office Manager responsible for overseeing Accounts Payables /Accounts Receivables /Certified Payroll/Human Resource Administrator. Looking for a dedicated employee with a “can-do” attitude, that will directly oversee an Accounting Assistant and a Receptionist, as well as step up to assist other departments with their needs.
APPLICANT FOR THIS POSITION WILL HAVE A STRONG GRASP OF ACCOUNTING AND LABOR COMPLIANCE.
Duties and responsibilities include:
-Accounts Payable, process invoices and issuing payment
-Quarterly Sales Tax Submission
-Accounts Receivable, process monthly contract billing, tracking payments, issuing applicable lien Releases.
-Process company payroll including reporting, reconciliation, vacation/sick accruals, garnishments, and other company pay policies timely and accurately
-Reconciliation of timesheets, multi-site allocations and changes in processing payroll.
-Weekly Submission of Certified Payroll
-Processing Labor Compliance Documents
-Monthly OCIP Reporting
-Monthly WC Reporting
-Weekly Submission of Payroll Tax Liability
-Quarterly Submission of Payroll Quarterly Taxes
-Production of reports per pay-period
-Ensure effective and accurate benefits administration
-Maintain the confidentiality and completeness of all employee personnel records and files
-Complete employment verifications
-Facilitate new-hire employee documents and conduct orientation on company's policies and procedures
-Ensure completion of insurance enrollment forms and submittal to appropriate insurance carrier
-Assist employees with policy and procedure matters dealing with timesheets and paychecks
-Assist Managers with employee related questions
-Process termination paperwork
-Equipment Safety (Harness, Lanyards, Etc.)
-Minimum of 2 years’ experience with certified payroll and non-certified payroll, benefits and general HR administration is required
-Minimum of 2 years accounting experience required, preferably in construction
-Bilingual in Spanish preferred but not required
-Prior experience with Construction and Sage 300 Accounting Software a plus
-Prior experience in Sage Paperless a plus
-Must be highly organized, detail-oriented with strong organizational skills and ability to work effectively and independently with a positive attitude
