The Record Retrieval Assistant Manager is responsible for the end-to-end process of collecting records via subpoena and/or authorization. This individual will be responsible for obtaining records within the scope and terms agreed upon with the client. The Record Retrieval Assistant Manager is a primary point of contact within the records department, and will work hand-in-hand with the department manager.


• Adhere to guidelines and procedures established by client work orders.
• Process orders from various sources including but not limited to: electronic direct orders, legal documents, e-mail orders
• Conduct research via telephone, internet and other reference materials to identify or confirm proper recovery procedures and requirements
• Confirm request packets have been received by custodians of records
• Make follow-up calls to custodians to ensure requested records are collected in a timely manner
• Determine whether records and physical evidence received are complete based upon parameters of request packet
• Process records and physical evidence into database
• Quality check records and physical evidence for accuracy
• Follow-up with custodians on incomplete records, performing additional research, if required
• Process invoices
• Process correspondences
• Prioritize workload based on due dates, rushed orders, client inquiries
• Meet designated benchmarks for assigned tasks
• Communicate with clients via email or telephone regarding priority subjects
• Schedule third-party copy vendors and/or courier deliveries with custodians


• 2+ years of experience in a call center/customer service environment
• Excellent oral and written communications skills
• Accepts responsibility for own actions & acts with integrity in all business dealings
• Passion for customer service
• Takes initiative/Self-motivated
• Ability to remain calm and effective in high-stress situations
• Ability to prioritize multiple duties and multi-task
• Intermediate understanding of Excel, Gmail, Word
• General working knowledge of internet search engines and internet research
• Excellent problem-solver
• Ability to work in a fast-paced, flexible, team environment
