Position: Legal Administration Manager
Status: Full-time / Regular / Exempt

Robbins Arroyo LLP is seeking a Legal Administration Manager that will be responsible for the management of the Legal Administration department - including legal secretaries and administrative staff - in addition to providing superior legal secretary support. This manager is responsible for planning, organizing, and implementing secretarial and administrative projects, and is accountable for setting the goals and deadlines of the Legal Administration department. The position is also responsible for training, evaluating, reviewing, and disciplining team members, as well as making recommendations to the Chief Operating Officer regarding hires, terminations, and compensation for the department's employees. The Legal Administration Manager designs and implements procedures to improve the performance of the department and its employees.

Essential Duties and Responsibilities:
• Direct and coordinate the Legal Administration department of the firm
• Acts as a liaison for the Legal Administration team, when necessary, with attorneys, other departments, and building management
• Analyze internal processes; recommend and implement procedural or policy changes to improve operations
• Recruit, interview, and train Legal Administration team members
• Supervise the work of Legal Administration department employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors and problems
• Manage day-to-day workflow, scheduling, and overtime of the Legal Administration department employees; approve make-up and time off
• Provide superior legal secretary support, and set the standard for expectations of the legal secretaries
• Manage travel division to ensure consistent booking procedures and best practices to improve cost savings
• Oversee, coordinate, or carryout administrative programs and initiatives, including but not limited to the purchasing of office supplies, tracking of Firm attorneys' Continuing Legal Education requirements, annual renewal of operational insurance products, and the maintenance of the Firm's illness and injury prevention and disaster preparedness plans
• Conduct performance appraisals, make compensation/promotion recommendations, discipline employees, and provide recommendations to the COO regarding terminations
• Resolve partner/employee complaints, and answer questions regarding department policies and procedures
• Provide department employees with guidance in handling difficult or complex problems, or in resolving escalated complaints or disputes
• Perform administrative tasks to ensure that the Legal Administration team works efficiently
• Perform other duties as assigned by the COO and Managing Partner

Required Skills, Knowledge, and Abilities:
• Extensive knowledge of the duties and responsibilities of all Legal Administration department employees
• Knowledge of Firm and department policies and procedures
• Ability to coach, motivate, encourage, support, and guide staff to achieve desired results
• Ability to implement creative, proactive approaches to improving department and Firm protocols
• Ability to make clear and consistent decisions by considering all relevant factors and remain willing and flexible to adapt and adjust decisions when necessary
• Excellent project management, including skills to effectively prioritize and execute in a deadline-driven environment
• Detail-oriented and organized, with the ability to manage multiple priorities simultaneously
• Ability to maintain confidentiality when necessary and is ethical in all aspects
• Ability to delegate and prioritize tasks among the Legal Administration team
• Superior oral and written communication skills
• Strong research and analytical abilities
• Proficient with Microsoft Office applications, including Outlook, Word, and Excel

Education & Experience:
• Bachelor's degree or equivalent legal secretary experience required
• Minimum of 5 years of legal secretary experience required
• Minimum of 2 years of supervisory experience preferred
