About the Role:
We’re seeking a friendly, detail-oriented Administrative Assistant/Patient Care Coordinator to be the welcoming face and voice of our practice. You’ll support daily operations, help patients navigate their wellness journey, and work alongside a passionate team dedicated to exceptional care.
This role reports to the Lead Care Coordinators, and full on-the-job training is provided.
Key Responsibilities:
Patient Care & Communication
Greet patients in person and by phone with warmth and professionalism.
Answer questions about services, treatments, insurance, and payment options.
Guide new patients through intake paperwork and accurately enter information into CharmEHR.
Schedule, reschedule, and confirm appointments.
Provide patients with updates on treatment plans, lab results, and prescriptions during check-out.
Administrative Support
Maintain accurate patient records and ensure procedures are entered correctly.
Process payments and assist with billing inquiries.
Keep the reception area tidy, organized, and welcoming.
Assist with ordering supplements, medical supplies, and managing inventory.
Support doctors with administrative tasks such as contacting pharmacies, imaging centers, and handling medical records.
Team Collaboration
Work closely with the office manager and healthcare team to ensure smooth clinic operations.
Assist with office tasks including data entry, returning messages, and special projects as needed.
Learning & Growth
Gain hands-on exposure to naturopathic medicine, nutrition, and holistic health.
Participate in ongoing training and professional development opportunities.

Qualifications:
Education: High school diploma or GED required. Additional training in healthcare, business, or related fields is a plus.
Experience: Minimum 2 years in an administrative assistant or receptionist role; healthcare experience preferred. Familiarity with Microsoft Office, Mac computers, and electronic medical record systems.
Skills:
Excellent written and verbal communication; friendly and professional phone manner.
Compassionate, patient-focused interpersonal skills.
Basic math and payment processing abilities.
Strong organizational skills and attention to detail.
Ability to multitask, work independently, and thrive in a fast-paced environment.
