We’re looking for an enthusiastic, detail-oriented Administrative Assistant who takes pride in helping others, thrives in a professional healthcare setting, and enjoys creating an organized, welcoming environment. This is a key front-facing role where you’ll make a meaningful impact every day.
What You’ll Do
• Greet clients warmly and ensure a comfortable, professional experience — including offering beverages and creating a calm environment
• Manage incoming phone calls, emails, and client inquiries
• Schedule client appointments and coordinate with other healthcare providers
• Communicate with pharmacies for prescription verification and medication management
• Support marketing initiatives such as blogs, social media, and public outreach
• Maintain provider calendars and coordinate meetings
• Manage and organize confidential client files and records
• Process payment transactions accurately and efficiently
• Assist with clinical tasks such as taking vital signs or running medication reports (training provided)
• Help with personality testing administration and other client assessments (training provided)
• Keep the office organized, presentable, and inviting
What We’re Looking For
• Strong interest or background in healthcare or wellness
• Bachelor’s degree preferred (high school diploma required)
• A quick learner with initiative and professionalism
• Positive, collaborative attitude and strong interpersonal skills
• Fully COVID-19 vaccinated (at least 2 weeks prior to start date)
Skills That Make You Shine
• Excellent customer service and communication abilities
• Strong grammar, writing, and attention to detail
• Highly organized with great multitasking skills
• Proficient in Microsoft Word, PDF creation, and cloud tools (OneDrive, DocuSign, EMR systems, etc.)
• Comfortable using web-based systems for patient care, billing, and scheduling
• Committed to maintaining HIPAA compliance and confidentiality
