This position provides a wide variety of skilled administrative and clerical 
support to the CEO. Responsibilities involve exposure to sensitive information

Assumes responsibility for agency strategic plan and special projects; attends 
board or similar meetings to take, transcribe and distribute minutes; prepares 
agendas, board packets, maintains databases; researches/analyzes data and

1)Receives and filters telephone calls, incoming mail, publications and other correspondence on behalf of the VP of TaylorMade Brand Marketing.<br>
2)Administers and reconciles the executives personal schedule of appointments and meetings.<br>
3)Assists in making travel arrangements including but not limited to air, hotel, and rental car.   Also assists in preparing executive’s expense reports in relation to travel and other business expenses. <br>
4)Schedules and makes preparations (room set-up, agenda preparation, etc.) for meetings and other department events.<br>
5)Prepares presentations, reports, letters, memos, and other formal correspondence as requested.<br>
6)Develops and maintains filing system for Brand Marketing team documents.<br>
7)Provides administrative coordination between Carlsbad, the Regions, HQ and other adidas Group entities and business partners.<br>
8)Assists, as needed, in development of written communication.<br>
9)Handles internal communication for the TaylorMade Brand Marketing Department, under the direction of the executive. <br>
10)Provides general clerical support to the TaylorMade Brand Marketing and Public Relations team.<br>
11)Serves as back-up administrative support for other senior level personnel, as needed.<br>
12)Performs other related duties and assignments as required.<br>
<br>
Education, Training, Professional Certification and Work Experience:<br>
<br>
- 3 - 5 years of experience in executive level administrative support, or equivalent combination of education, training and experience.  <br>
- Must have direct administrative support work experience at the Vice President level.  <br>
- General knowledge of Brand Marketing in order to perform the responsibilities outlined thoroughly and accurately.<br>
<br>
Knowledge and Skills Requirements: <br>
<br>
- Excellent communication skills, both written and oral.<br>
- Strong proficiency with computer applications particularly MS Outlook, Word, Excel, and PowerPoint. Experience with Oracle iExpense or related online expense software a plus. <br>
- Able to establish and maintain effective working relationship with executives and co-workers in other departments.<br>
- Requires maturity, experience and good public relations skills in interfacing with all levels of management and general public. Uses good judgment in recognizing scope of authority.<br>
- Results-oriented with the ability to change priorities as needed.<br>
- Able to effectively and appropriately handle confidential information.<br>

We absolutely must have someone who is accurate and detail/deadline-oriented with analytical/problem-solving skills and the ability to multi-task and prioritize. Must have 2-3 years of ADP Pay eXpert experience with equivalent years of related accounting/payroll experience and familiarity with standard concepts, practices, and procedures within the accounting/payroll field. Experience using MS Word, Excel, and Outlook using XP and Vista operating systems required. Familiarity with a variety of benefit plans and a general understanding of human resource practices is desirable. Knowledge of Benetrac and Great Plains a huge plus.<br>

Job Description:<br>
Create and edit spreadsheets, using client templates in Excel, compile data and summarize records/reports manually or using basic computer programs.  Meet deadlines on monthly reports.<br>
Type and edit letters, forms and memos using appropriate formats; proofread for grammatical, spelling and typographical errors.  May require the use of transcription equipment.<br>
Maintain calendars by scheduling appointments, accepting/declining meetings, when appropriate and schedule conference calls and conferences as directed.  Schedule meetings and request all necessary equipment, accessories, and food and beverages needed for meeting.  Secure conference call dial-in numbers for attendees.<br>
Plan travel itineraries for all project team members.  Complete expense reports for senior staff and sometimes associated junior staff.<br>
Screen telephone calls, visitors and incoming correspondence; take messages and respond to routine questions and requests, as appropriate.<br>
Perform routine tasks such as copying, faxing, filing, and sorting mail as directed.<br>
Provide occasional reception desk coverage.  Provide assistance to other EAs in teamwork fashion.<br>

Qualifications:<br>
Minimum five years office experience.  Executive assistant experience preferred.<br>
Effective communication, organization and basic mathematical skills.  Able to prioritize workload.  Work well in a team environment.<br>
Demonstrated ability to handle multiple tasks simultaneously; manages competing demands and is able to deal with changes, delays or unexpected events.<br>
