Position Summary
We are looking for an Office / Facilities Manager to work cooperatively with all staff in expediting the general flow of work pertaining to the office, including but not limited to reception, general office/clerical duties and administrative projects.
This is a Hand-on and High-energy position.
Essential Duties and Responsibilities
Liaison between CGI and vendors including, but not limited to the following:
o Property Managers
o Janitorial Services / Locksmith / Plumbing
o Electric / Heat / Air Services
o Phone and Conference lines
o Signage Vendor
o Kitchen vending machines
o Extermination
o Office Supply / Furniture Vendors
o Canon Copy / Print
o Archiving / Shredding Vendor
o Fire Marshall / Inspector
Office phone administration weekend, holiday, after-hours, etc.
Purchase office furniture, supplies, stationary, labels, business card, etc.
Coordinates office space, furniture, business cards, and supplies for each new hire.
Maintains supplies request log and orders supplies as needed.
Other Duties and Responsibilities
Conducts and coordinates new hire phone orientation and providers user guide.
Create and maintain phone extension list. Update monthly.
Serve as back-up for receptionist phone coverage.
Sort mail and deliver to appropriate employee mailbox.
Serve as backup in Shipping / Receiving area
Ensure new hire desk and area are clean and ready for arrival.
Keeps office supply area stocked and neat
Orders all kitchen supplies and maintains kitchen.
Cleans refrigerator monthly
Troubleshoot copy machine and printer problems.
Secondary contact for Alarm company in case of emergency
Contact for entire company in case of emergency at building
Coordinates office birthdays
Maintains key log with keys to building, desks, inside offices, cabinets, etc.
Manages off-site archiving/storage/shredding system
Approval of all office related invoices
Physical Demands and Work Environment
Office Maintenance
Rearrangement of furniture
Ability to fix broken light fixtures, desks, etc.
Hang pictures
Other handyman duties as assigned.
Ability to multi-task
Be able to work away from desk 50% of the time
Minimum Qualifications (Education, Experience, Skills)
3+ years administrative business experience
Proven ability to learn new technology quickly
Professional writing skills which reflect correct grammar, spelling, punctuation, composition, quality, and fluent vocabulary
Intermediate knowledge of Microsoft Word, Excel, and Outlook
Customer service fanatic
Proven ability to solve problems, make decisions, and resolve conflicts
Self motivated and takes initiative
