Small financial services firm seeking full-time Administrative Assistant who will be part of the team working with all department Managers and Directors.
Responsibilities:
• Answer all incoming phone calls
• Greet customers, vendors, clients, employment applicants, and other visitors
• Provide clerical administrative support to all departments
• Manage company phone, anniversary and birthday list.
• Calendar management, meeting arrangements, and ability to prepare travel plans and itineraries.
• Maintain front office equipment including copier, fax, and postage meter.
• Collect and distribute mail, including sending and receiving faxes.
• Maintain front kitchen: cleanup and check supplies twice weekly.
• Assist with Administrative Projects as requested.
• Participate and assist in planning of company parties and events.
• Generate letters, reports, and presentations as necessary.
Minimum Qualifications: • Background and work experience in a financial office (a plus)
• Excellent computer skills including, Word, Excel, Outlook, Power Point, ACT (a plus)
• Attention to detail and high level of accuracy
• Ability to multi task
• 2+ years prior reception/administrative assistant experience
• Must have excellent verbal & written communication skills along with strong interpersonal skills.
• Ability to work independently, be organized and detail oriented.
• Reliable, pro-active, and forward thinking.
• Professional demeanor, appearance, speech and attitude.
